Cancellation Policy for Desert Hiking Company

At Desert Hiking Company, we understand that plans can change. To accommodate our guests while ensuring the sustainability of our operations, we have established the following cancellation policy:

  • Full Refund: Guests who cancel their booking more than 60 days before the scheduled trip date will receive a 100% refund of their payment minus the processing fee. 
  • Partial Refund: Guests who cancel their booking between 30 and 59 days before the scheduled trip date will receive a 50% refund of their payment.
  • No Refund: Unfortunately, for cancellations made within 30 days of the scheduled trip date, no refund will be provided.

Note: The above policy applies to all cancellations, regardless of the reason. We strongly recommend purchasing travel insurance to cover unexpected changes to your plans.

Terms and Conditions

The Desert Hiking Company reserves the right to cancel any trip due to insufficient enrollment, which makes it economically unfeasible to proceed. If this occurs, we will offer a full refund, including any non-refundable deposit. We also reserve the right to cancel a trip due to safety, health, or welfare concerns for participants, or in the event of a Force Majeure.

Force Majeure refers to events beyond our reasonable control, including but not limited to natural disasters (floods, wildfires, extreme weather), public land closures, acts of war, civil unrest, government-imposed travel restrictions, pandemics, epidemics, or other unforeseen situations.

If a trip is canceled due to Force Majeure, we will issue a full credit towards a future trip, minus any reasonable expenses incurred. Refunds will not be provided in these circumstances. Guests are responsible for any additional costs incurred preparing for the trip (such as airline tickets, rental cars, equipment, or medical expenses). We do not provide refunds for late arrivals or early departures from a trip.

We strongly recommend purchasing Travel Protection Insurance to safeguard against unexpected cancellations, medical emergencies, travel delays, or lost baggage.

Itinerary Changes

The Desert Hiking Company reserves the right to modify itineraries based on a variety of circumstances, including Force Majeure, weather conditions, road closures, permit availability, or forest fires. If itinerary changes are required to ensure guest safety, the trip destination or route may change, but the trip’s price and duration will remain the same.

If circumstances beyond our control make it impossible to run a scheduled trip, we will issue a credit for the full amount paid. In these situations, we will make every effort to provide an alternative itinerary that maintains the core elements of your adventure. Your safety is our highest priority, and we reserve the right to alter the route if necessary.

Minimum Group Requirements

Each trip requires a minimum number of participants to proceed. If unexpected cancellations reduce the number of participants below the required minimum, we reserve the right to cancel the trip and issue a full refund. For custom group bookings, if the group size falls below the agreed number of participants, the per-person cost of the trip may increase.

Medical and Physical Considerations

Guests must disclose any medical or psychological conditions prior to departure to ensure we can make necessary arrangements. Our guides have the authority to remove a participant from the trip if they are unable to continue safely or if their participation poses a risk to themselves or others. Refunds are not issued in these situations.

We are not a medical facility and cannot provide medical care or administer medication. Evacuations can be difficult and costly, so we strongly recommend guests carry personal medical insurance and be prepared for backcountry conditions. It is the guest’s responsibility to bring any required medications and have an updated physical exam if needed.

Physical Preparedness

Participating in our adventures requires a certain level of physical fitness. We ask guests to review the trip details, including the terrain, mileage, elevation changes, and weather conditions. Select an adventure suited to your abilities and prepare physically to ensure a safe and enjoyable experience.

Our guides reserve the right to remove any participant who cannot safely complete the trip or who compromises the safety of the group. In such cases, no refunds will be issued.
